What does a corporate party cost per person?

A company party costs on average between €35 and €150 per person, depending on the type of event, location and services you choose. Simple get-togethers start around €35 per person, while elaborate staff weekends or galas can cost up to €150 or more. The biggest cost factors are catering, location and entertainment. In this article, we answer all the questions about budgeting for your corporate party.

What determines the cost of a corporate party per person?

The cost of your corporate party is determined by five main factors: location, catering, entertainment, duration and group size. These elements each have a direct impact on your budget per person.

Location is often the biggest expense. A hotel or conference center costs more than a private business building or community center. In Amsterdam and other large cities, you pay an average of 20-30% more than in smaller towns. The day of the week also matters: Fridays and Saturdays are more expensive than weekdays.

Catering varies enormously in price. A simple drink with bitterballen and drinks costs around €25-35 per person. A multi-course dinner runs to €65-85 per person. Food stations and walking dinners are in between, around €45-60 per person.

Entertainment and activities also determine your budget. A DJ costs differently than a live band. Teambuilding activities, photobooth or other interactive elements come on top of the basic amount. Think €10-50 extra per person for entertainment.

The number of guests comes into play because of economies of scale. Larger groups often get better rates per person for venue and catering. Groups under 50 usually pay more per person than groups over 100.

Drinks and receptions are the most affordable. Count on €35-50 per person for drinks, snacks and a venue for 3-4 hours. This is perfect for informal networking occasions or smaller celebrations.

Dinners cost more because of the extensive catering. A three-course dinner with wine costs €60-90 per person, not including venue and entertainment. Add another €15-25 per person for the venue.

Teambuilding activities vary widely. Escape rooms or workshops cost €45-65 per person. Outdoor activities such as paintball or climbing are around €50-75 per person, including guidance and materials.

Staff weekends are more expensive due to lodging and multiple meals. Budget €80-150 per person for a weekend with hotel, all meals and activities. This type of event does create the strongest team connection.

Large annual parties such as year-end parties cost €70-120 per person. These events combine dinner, entertainment and often a beautiful venue for an unforgettable evening.

How can you smartly reduce the cost of your corporate party?

You can save 20-40% by making smart choices without sacrificing quality. Choose off-peak times, alternative locations and flexible catering options.

Timing is everything for your budget. Events on Tuesdays, Wednesdays or Thursdays cost less than weekend events. You also get better rates outside the busy season (September-December). Lunch events are cheaper than dinner events.

Location choices make a lot of difference. Your own business premises are free, but have limitations. Neighborhood centers and sports clubs are affordable alternatives. Also look at hotels outside downtown or industrial sites that you can transform.

In catering, you can make smart savings with buffets instead of serving, food trucks instead of traditional catering, or a mix of purchased and homemade items. Beverage packages are often more economical than consumption.

Grab group benefits by having several departments celebrate together or combining your event with other companies. Suppliers offer discounts for larger quantities.

Distinguish between must-haves and nice-to-haves. Good catering and atmosphere are important, but expensive decoration or exclusive venues are often not necessary for a successful event.

What hidden costs should you notice in corporate parties?

Hidden costs can increase your budget by 15-25%. Consider service charges, VAT, overtime costs, transportation, decoration construction and insurance that are often not included in initial quotes.

Service charges are often in addition to the catering price. Many vendors charge a 10-15% service fee for service and handling. This is sometimes printed small in quotations.

VAT is not always clearly communicated. All prices exclude 21% VAT unless otherwise stated. This can increase your budget considerably if you don’t count on it.

Extra hours cost money. If your event goes off schedule, you’ll pay overtime for staff, venue and vendors. Expect a 25-50% surcharge for extra hours beyond the agreed upon time.

Transportation is often forgotten. Parking costs for guests, shuttle services or public transit fees can add up. In city centers, parking is expensive and scarce.

Decoration set-up and take-down cost extra time and money. Vendors often charge separate fees for setting up and taking down decorations, sound equipment and other materials.

How do you create a realistic budget for your staff party?

You create a realistic budget by setting goals, setting priorities and mapping out all expenses. Start with your overall budget and work down per person, with 10-15% buffer for unexpected expenses.

Start with your goals. Do you want team building, to show appreciation or just socializing? This will determine the type of event and associated costs. A team-building event has different priorities than a thank-you reception.

Set priorities. What is important to your team? Great food, beautiful venue, fun activities or just time together? Divide your budget according to these priorities: 40% for catering, 30% for location, 20% for entertainment and 10% for extras.

Map all cost items: venue, catering, drinks, entertainment, decoration, transportation, service charges and VAT. Create a spreadsheet with all items and get multiple quotes.

Compare quotes thoroughly. Look not only at the total price, but also at what is and is not included. Always ask for prices including VAT and service charges.

Build in a 10-15% buffer for unexpected expenses. Events always run a little differently than planned. This buffer prevents budget overruns and stress during organization.

Plan your budget in stages. First reserve location and catering (largest expense items), then entertainment and decor. This way you maintain an overview and prevent small expenses from eating into your budget.
