What emergency procedures should you have at a corporate party?

Every corporate party needs basic emergency procedures: a clear evacuation plan with escape routes and assembly points, first aid facilities adjusted to the number of guests, and clear emergency communication protocols. You also need trained staff who know what to do in case of medical emergencies. These procedures will ensure that your guests can safely enjoy your event.

What are the most important emergency procedures every corporate party should have?

The fundamental emergency procedures for any corporate party consist of four pillars: evacuation procedures, first aid protocols, communication plans and trained personnel. These basics ensure that you are prepared for virtually any emergency that may arise.

Your evacuation procedures should be clear and accessible to all. This means marking escape routes, designating assembly points and making sure all exits remain clear. Also consider people with disabilities – do they need special assistance during evacuation?

First aid protocols match the size of your event. For smaller corporate events up to 50 people, a well-stocked first aid kit and someone with a basic first aid course is often sufficient. For larger events, you need professional first aiders.

Your communications plan regulates how information flows during a crisis. Who calls the emergency services? How do you inform guests? What means of communication do you use if the power goes out? You answer these questions in advance.

Trained personnel are the backbone of your safety procedures. They know what to do, stay calm and can reassure others. Invest in good training – it can save lives.

How do you create an evacuation plan for your corporate party?

An effective evacuation plan starts with mapping all exits and escape routes. Walk the site and determine the fastest and safest routes out. Mark these clearly with signs that are visible even in the dark.

Choose assembly points a safe distance from the building. These spots should be large enough for all guests and easily accessible for emergency services. Consider parking lots or plazas, but avoid narrow streets or spots under trees.

Assign specific roles to your team members. Who controls which rooms? Who helps people with disabilities? Who counts guests at the gathering point? Make these responsibilities known in advance and provide backups.

For indoor events, you pay extra attention to emergency exits that may be hidden behind decorations. For outdoor events, you think about weather conditions – how do you evacuate safely during storms or slippery conditions?

Test your plan in advance. Walk the routes, check that all doors open, and make sure your team knows where they need to be. An evacuation drill is not necessary during the party, but you can spend some time going over the procedures with your core team.

What first aid supplies do you need at a corporate party?

Your first aid supplies depend on the number of guests and type of activities. For corporate parties up to 50 people, a complete first aid kit with bandages, painkillers and an AED is sufficient if it is available at the venue.

For 50-150 guests, you need at least one person with a valid first aid certificate. For larger events or high-risk activities, hire professional first aiders. They have more experience and can better assess serious situations.

Your first aid kit includes as standard: sterile bandages, plasters, painkillers, disinfectant, gloves, a thermometer and a respirator mask. For outdoor events, add bug spray and sunscreen.

Legally, as an organizer, you are required to make reasonable first aid arrangements. This means you must be able to respond to normal mishaps and provide first aid until professional help arrives. Have questions about the specific requirements? Check our FAQ for more information.

Make sure your first aid materials are easily accessible and that multiple team members know where everything is. Hang a clear sign so even guests can find the first aid station if needed.

How do you communicate during an emergency at your company party?

Effective emergency communication is all about speed, clarity and choosing the right channel. Start with one person responsible for all external communications – that way you avoid confusion for emergency services.

For small events, megaphones or a simple sound system work fine. For larger parties, you need a professional public address system that reaches all corners. Always test this system beforehand and make sure you have backup if the power goes out.

Your communication strategy has several layers. Internal communication between team members is via walkie-talkies or a WhatsApp group. External communication to emergency services is through a single contact person with all relevant information at hand.

Prepare standard messages. “There is a medical emergency, stay calm and follow the instructions of our staff” works better than impromptu announcements. Speak slowly and clearly – stress makes people hear less well.

Keep noise in mind during your corporate party organizing. Music should be able to be turned off quickly and you should be able to reach all rooms with your message. Visual cues such as flashing lights also help, especially in noisy environments.

What should you do if a medical emergency happens during the party?

In a medical emergency, stay calm and follow a set procedure: ensure safety, assess the situation, provide first aid and call for help. The order is important – own safety always comes first.

Check that the environment is safe before helping. If unconscious, check breathing and heart rate, place the person in stable side position and call 911 immediately. For allergic reactions, look for an EpiPen and inquire what has been eaten or drunk.

Keep the person comfortable and talk to him or her, even if they appear unconscious. Have someone else call emergency services while you administer first aid. Communicate clear information: what happened, where you are and how many people need help.

Make space around the person and keep curious people at bay. This gives the injured person privacy and you space to help. Stay with the person until professional help takes over.

Document what happened for your insurance and any follow-up. Record time of day, what happened, what help you provided and how the situation developed. This also helps ambulance crews. For assistance in handling incidents, you can always contact Dutch Standard Events.

How do you prepare your staff for emergencies during company parties?

Good staff training begins weeks before the event. Organize a briefing in which you go over all emergency procedures, assign roles and answer questions. Everyone should know what is expected of them.

Assign specific responsibilities based on experience and skills. Your most experienced team member often becomes evacuation leader, while someone with first aid knowledge picks up medical situations. Always have backups – people get sick or aren’t there.

Practice the procedures in a relaxed setting. Walk down escape routes together, show where first aid supplies are located and discuss different scenarios. “What do you do if someone faints during the speech?” These kinds of questions help prepare your team.

Give your staff recognizable clothing or badges so guests know who to address. In emergency situations, people look for authority – make it clear who that is.

After each event, evaluate what went well and what could be improved. This feedback will make your next company event safer. Also keep track of what training your team members have attended – first aid certificates expire and need to be refreshed.
